Building a vendor-rules workflow that scales

This one's for anyone who's imported a CSV, stared down eighty uncategorized rows, and thought there has to be a better way. There is, and it compounds the longer you stick with it.

Week one: categorize honestly, don't shortcut

For your first import, categorize each transaction properly instead of rushing to set up rules. You're establishing the pattern GBooks Air is going to learn from, so it's worth getting the first instance of each vendor right.

Turn repeats into rules as you go

The second time a vendor shows up, create a rule instead of categorizing it by hand again. Within a month or two of normal bookkeeping, your twenty or thirty most frequent vendors, usually 70-80% of your transaction volume, will have rules attached.

Audit your rule set every quarter

Spend ten minutes on the Rules screen once a quarter:

  • Is anything mis-categorizing? A vendor that changed what they sell you, or a pattern that's grabbing more than it should — fix the pattern.
  • Any new frequent vendor without a rule yet? Sort recent transactions by vendor; anything showing up three or more times is worth one.
  • Any rule for a vendor you don't use anymore? Harmless to leave sitting there, but a shorter rule list is easier to reason about later.

Handle mixed-use vendors on purpose

Some vendors, Amazon, Costco, gas stations, sell across categories. Two approaches that actually work:

  • No rule, always manual. Fine if the vendor's infrequent enough that automation wouldn't save much anyway.
  • Rule to a "Review" holding category. The transaction gets flagged instead of filed, so it surfaces in your weekly review rather than getting silently booked wrong.

The payoff, in real numbers

A business with a mature rule set typically opens a fresh CSV import to find 80-90% of it already correctly categorized, with only genuinely new or unusual items left needing a human decision. Bookkeeping stops being data entry and turns into exception handling, which is both faster and a much better use of your attention.
