What the limit actually is

GBooks Air holds up to 20,000 transactions in the active working file, enough for most small businesses to run several years of full bookkeeping. It's there because everything runs in your browser's local storage rather than on a server, and it's enforced firmly so the app never quietly degrades in performance as you get close to it.

Checking where you stand

Your transaction count sits under Settings → Storage, alongside how much room is left. Most businesses only need to think about this after two or three years of steady use.

Freeing up room: the fiscal year-end archive

The fiscal year-end archive is the intended fix. It packages a completed, filed fiscal year into a downloadable archive and pulls those transactions out of the active working file, while keeping your current and recent years fully interactive.

1. Confirm the year you want to archive is genuinely closed (see the close checklist).
2. Go to Settings → Year-end archive and pick the fiscal year.
3. Download the archive package and store it with your other backup records.
4. Confirm the archive, which removes those transactions from the active file.

What if I need an archived transaction later?

Restore the archive file to view it whenever you need to. Archived years aren't deleted, just moved out of the active working set. That's on purpose: filed, historical data shouldn't be edited casually, but it should still be reachable for six years, per the CRA's own retention requirements.
