Setting up your business profile

0100 · GETTING STARTED5 min read

Your business profile is what feeds everything customer-facing in GBooks Air: invoices, quotes, statements, PDF reports, all of it. Spend five minutes here now and you won't be going back to re-edit documents later.

What to fill in

Business name and contact details

Use your registered business name exactly as it appears on CRA correspondence — it's what your customers' accountants will match your invoices against. Add whatever address, phone, and email you want showing up on invoices.

Province or territory

This one setting drives your default sales tax:

Where you areWhat applies
Alberta, NWT, Nunavut, YukonGST only
Ontario and the Atlantic provincesHST (one combined rate)
BC, Saskatchewan, ManitobaGST + provincial PST/RST
QuebecGST + QST

Current CRA rates for all 13 provinces and territories ship with the app, so you're never typing in a rate by hand. You can still override the tax treatment on any individual invoice or transaction — say, when you're selling to someone in another province.

GST/HST registration number

If you're registered, enter your 15-character business number (something like 123456789 RT0001). The CRA requires it on invoices anywhere you're charging GST/HST, and once it's set, GBooks Air prints it automatically.

Not registered yet?

Generally you need to register once your worldwide taxable sales pass $30,000 over four consecutive calendar quarters. The dashboard tracks your rolling revenue so that threshold doesn't sneak up on you unnoticed. If you're not sure where you stand, talk to your accountant, or ask GSH Financial.

Fiscal year end

Sole proprietors report on the calendar year, so December 31 is the right call. Incorporated businesses can pick any fiscal year end — just make sure it matches your corporation's, since the year-end archive and any dated report key off it.

Logo

Upload a PNG or JPG and it'll show up on your invoice and quote PDFs. Something roughly square, around 400x400px, tends to render best.

Dark mode and display preferences

There's a full dark mode in here too — toggle it in Settings, or let it follow your system preference. Reports and charts adapt either way.
